What we collect

• Account data: your email address (and name, if provided by your sign-in method).
• Photos you upload for identification.
• Optional location you add or share for a capture (country, locality, or coordinates).
• Subscription & billing data: your plan and status. Card details are handled by our payment processor — we never receive or store your full card number.
• Usage data: your identifications and basic logs needed to run, secure and improve the service.
• Essential cookies: a small number of cookies that keep you signed in and let the service work. We don't use advertising or cross-site tracking cookies.

How we use it & our legal bases

We use your data to perform identifications, show and store your results, operate your account and subscription, prevent abuse, and improve the service. We do not sell your personal data, and we do not use your photos for advertising.

Where data-protection law (such as the GDPR) applies, we rely on: performing our contract with you (to run the service and your account); your consent (for example, the optional location you choose to share); and our legitimate interests (keeping the service secure and improving it). You can withdraw consent at any time.

Service providers

We rely on trusted processors to run the service: authentication and database hosting, payment processing, cloud hosting and storage, and AI/ML providers that perform the identification. To identify your specimen, the photo you upload (and any location you add) is sent to our AI/ML provider to generate a result. These providers process data only to provide their service to us, under their own security and confidentiality obligations.

International data transfers

Our providers operate in the United States and other countries, so your data may be processed outside the country where you live, where data-protection laws may differ. Where required, we take steps to ensure your data continues to receive an appropriate level of protection.

Your photos & location

Photos are used to perform the identification and are stored with your account so you can revisit past results. Location is optional and used only to improve identification accuracy. You can delete an identification, or request deletion of your account and associated data, at any time.

Data security

We use reasonable technical and organisational measures to protect your data, including encrypted connections and access controls. No method of transmission or storage is completely secure, but we work to protect your information and limit access to it.

Retention & your rights

We keep your data while your account is active, and for as long as needed to provide the service, meet legal obligations, and resolve disputes. Depending on where you live, you may have rights to access, correct, export, restrict or delete your data, and to object to certain processing. To exercise any of these, contact us at support@speciesense.com and we'll respond as required by applicable law.

Changes

We may update this policy from time to time. Material changes will be notified through the service, and the "last updated" date above will change.
